Position Summary:

Under the direction of the Senior Human Resources Advisor, the HR Administrator will provide high level confidential support and will be responsible for the effective HR management and activities relating to the Facilities Management and Ancillary Services (FMAS) internal client portfolio as well as to employees. The incumbent will act as a generalist on a variety of human resources matters such as recruitment (full cycle), compensation, benefits, payroll, and labour and employee relations. They will ensure the implementation and the compliance to all human resources policies and procedures.

Primary Responsibilities:

  • Assist Human Resources Advisors in performing and organizing daily human resources activities to support FMAS operations.

  • Assess and resolve human resources and administrative problems in accordance with collective agreements. Provide explanations and formulate recommendations to managers and employees.

  • Administer documentation pertaining to recruitment, compensation, disability management, payroll, and labour and employee relations for groups under their responsibilities.

  • Perform the full cycle of recruitment in Workday for unionized support staff, casual staff as well as management professionals which includes the development of job descriptions, postings (internal and external websites), interviews, references, offers and on-boarding.

  • Administer appropriate standardized tests to candidates when applicable.

  • Process reappointments, retirements, and terminations according to policies and procedures.

  • Administer and provide guidance on leaves (disability leaves, maternity, parental, extend parental, adoption, paternity, unpaid) ensuring proper process and documentation is provided.

  • Conduct exit interviews and provide summary to HR Advisors.

  • In collaboration with the HR Advisors, meet with directors/managers/supervisors to review requests for new positions and rematches. Review needs/requirements of the unit and review job descriptions.

  • Review vacation entitlements, vacation payouts, and other miscellaneous payments.

  • Assist the HR Advisors in the preparation of reports and files for Labour Relation Committees, disciplinary meetings, and grievances.

  • Develop and implement systems and procedures for managing employee files and HR documents. Ensure all record-keeping is complete, consistent and transparent.

  • Administer and maintain HR information database, compile statistics and produce reports on staff movement, probationary and trial period dates. Ensure follow–up with supervisors.

  • Assist with the implementation of HR initiatives/programs/policies introduced by FMAS and Central units.

  • Act as a backup to receive medical information and update departments accordingly.

  • Participates in special project, committees, and meetings. Plan and organize meetings and special events.

  • Provide support to FMAS staff in regard to Workday functionality and usability.

  • Perform other duties as assigned and assist as needed with backfill or overlapping of duties with coworkers.

  • Participate in peer training when applicable.

Other Qualifying Skills and/or Abilities:

Demonstrated experience working in a human resources environment. Experience with University HR policies and collective agreements is an asset. Result-oriented with demonstrated ability to effectively plan and review work, collaborate with others, and work successfully in a group setting. Demonstrated experience working with information of a sensitive and confidential nature. Excellent interpersonal skills to establish and maintain effective working relationships with various stakeholders at all levels. Ability to adapt and multi-task in a fast-paced environment and to carry on simultaneous projects. Client focused and proven attention to detail. Demonstrated ability to work in a computerized environment using word-processing, databases, spreadsheets and presentation software. Knowledge of Workday and LinkedIn is an asset. CRHA designation is an asset. Demonstrated spoken and written communication skills in both English and French.

Annual Salary:

(MPEX Grade 03) $51,190.00 – $76,770.00
