Description:
Reporting to the Faculty Dean of Science & Technology, the principal work of the Administrative Technician consists of performing various kinds of technical tasks of an administrative nature in areas related, among others, to financial resources and academic organization. The Administrative Technician assists support personnel as well as teachers reporting to the Office and Faculty of Science & Technology.

More specifically, but not limited to, the Administrative Technician:

• Processes and verifies teacher allocation and workload information, as well as scheduling information for the day division;
• Plans and organizes office dossiers, as well as the work of any other support staff associated with the office, with the goal of ensuring performance for all activities according to projected schedules;
• Participates in the development and application of standards, procedures, and tools for the Faculty;
• Facilities budgetary planning matters with Coordinators and details reports for annual budgets;
• Validates budget proposals, submissions and purchase requests based on criteria provided by the Faculty Dean;
• Liaises with Finance Services for monitoring and queries related to the management of budgets;
• Liaises with Huan Resource Services on all matters related to the faculty hiring;
• Collects and prepares reports from various databases and sources;
• Participates in Faculty Office events and activities, as required;
• Supports the office staff and operations across Faculties and the academic sector, as required.

The Assistant to the Faculty Dean may also be called upon to assist with the following clerical responsibilities:

• Greets students, faculty, staff and outside visitors, provides information related to the Faculty, its services and its functioning and refers more complex questions to the appropriate resources;
• Supports Coordinators, faculty, and staff with administrative work and queries related to the college’s academic systems;
• At the request of the Faculty Dean, prepares written communications of a formal and informal nature;
• At the request of the Faculty Dean, participates in the academic complaint process, cheating & plagiarism cases, and all other situations involving the application of college policies;
• Ensures adequate supply of stationary materials and tracks office inventory.

Other related tasks which fall within the scope of the classification of this position may be assigned.

Requirements:
Qualifications:
• Diploma of Collegial Studies (DEC) in Business Administration or a diploma or attestation of studies recognized as equivalent.

Conditions related to the specific position:
• Recent pertinent experience an asset.
• Excellent English oral and written competencies (to be tested);
• Strong French oral and written competencies (to be tested);
• Intermediate knowledge of Microsoft Word and Excel (to be tested);
• Ability to work accurately with detailed information (to be tested);
• Excellent interpersonal communications and problem-solving skills, client oriented;
• Capacity to offer good quality service to our clientele and ensure confidentiality and discretion;
• Demonstrated ability to work autonomously, as well as an active team member.
