Description

Reporting to the Dean of Academic Systems-Registrar, the Academic Advisor provides academic development and progression advice, assistance and information to current students, prospective students (in both the Day division and Continuing Education division) and members of the Vanier community. The Academic Advisor is knowledgeable about the appropriate Ministry of Education policies, regulations and protocols as well as internal College Policies and regulations, the College Mission statement, and Strategic Management orientations.

More specifically, but not limited to, the Academic Advisor:

  • Advises and informs students and prospective students on their academic strategy, choice of programs and courses;
  • Explains registration and admission processes, advises on registration and scheduling strategies and assists in the registration process;
  • Inform students about program objectives and graduation requirements (Program Comprehensive Assessment - PCA, English Exit Exam - EEE, …);
  • Advises on academic reorientation strategies including change of specialties (program transfers);
  • Informs students on the consequences of course deletes, withdrawals and other actions pertaining to course selection;
  • Meet and follow up with students on IN requests and refer them to appropriate support services;
  • Monitor the implementation and effectiveness of certain mechanisms related to the Institutional Policy on the Evaluation of Student Achievement policy (IPESA);
  • Reviews, categorizes and evaluates applications to the College in accordance with College and Ministry Admissions Criteria and makes decision-recommendations to the Registrar;
  • Advises students on university and other post-secondary admission procedures;
  • Analyzes student(s) records and other reports of student academic progress;
  • Alerts students of possible outcomes of their academic profile and suggests ways of rectifying adverse situations;
  • Advises Vanier Academic Administration (Academic Steering Committee - ASC) of repercussions of course failures, withdrawals and the like in terms of overall college academic success goals;
  • Provides support in policy development, revision and evaluation and participates in program committees and other committees, as appropriate;
  • Provide expertise on new and revised programs regarding prerequisites, by-semester course load, course sequencing and impacts on student progression, and any other relevant information they have from working with students;
  • Report to Program Deans and/or Program Committees any observed issues and make recommendations that may improve the quality of programs (as per Program Management Policy - PMP);
  • Analyses prospective students’ academic records and dossiers for admission or program transfer;
  • Assists Admissions Officers/Communications Office with admissions advising and participates in recruitment activities;
  • Share information gathered through their liaison with High School and University representatives;
  • Analyses students’ academic profiles for Standing and Advancement procedures and for graduation;
  • Develops, organizes, participates and/or leads activities fostering the students’ academic development and success;
  • Develops and delivers pertinent instruction and orientation activities (presentations, publications, events, web and electronic activities) leading to students’ academic development;
  • Provides training for faculty and staff in related subjects, as required;
  • Prepares presentations, as required.

Specifically, for Continuing Education:

  • Provides support to pedagogical counsellors in Continuing

Education for information session;

  • Analyses students’ academic records and dossiers for admission;
  • Alerts students who are failing courses in AEC/ACS to see if they can continue their studies;
  • Analyzes student(s) files for RAC processes including course substitutions (SU remark);
  • Participates and/or leads activities fostering the Adults students’ academic development and success in particular Resource Center.

Other related tasks which fall within the scope of the classification of this position may be assigned.

Schedule: Mon – Fri, 8:30 a.m. – 4:30 p.m., or 10:00 a.m. – 6:00 p.m. (35 hours per week)

Qualifications:

  • Bachelor’s degree in an appropriate field of specialization, particularly Education, Guidance Counselling, Academic and Vocational Information or Psychology.

Conditions related to the specific position:

  • Knowledge of the secondary and post-secondary educational systems, especially in Quebec;
  • Excellent English oral and written skills (to be tested);
  • Strong French oral and written skills (to be tested);
  • Excellent interviewing skills, public speaking ability, presentation of instructional material (to be tested);
  • Ability to work as a team member with faculty, staff and students;
  • Intermediate knowledge of Microsoft Word and Excel (to be tested).
